What a kitchen fitter's quote must include
- Your business name and contact details (and logo, if you have one)
- A quote number and the date
- The client's name and the job address
- Itemised lines: each piece of work and each material, with its price
- The total, and whether VAT (or your local sales tax) is included
- How long the price holds, where 30 days is standard
- What's excluded, stated plainly
- Deposit and payment terms, so the money conversation happens before the work
- The daily rate for time lost waiting on the customer's own delivery, which is the most common week a solo fitter never gets paid for
Tips from the trade
- Say in writing that time lost waiting on the customer's own delivery is chargeable, and at what daily rate. This is the single most common way a solo fitter loses a week they can never bill for.
- Set out the stages you will invoice, with amounts, so three weeks of work does not end with one large number arriving on the day the customer is most tired of the whole thing.
- State who checks the delivery against the plan before day one. A missing door found on the first morning is a phone call. The same door found on day nine is your problem and your delay.
- If somebody else templates the worktop, put it in as an allowance and say the fit pauses in between. A gap you predicted is a schedule. The same gap unmentioned is you being slow.
Common questions
- How do I quote a kitchen when the customer supplies the units?
- Quote your labour on its own lines and keep their supply out of your totals entirely, so you are not carrying risk on an order you did not place and cannot chase. Then add a line covering delays caused by their delivery. Their units are their gamble; your time should not quietly be the stake.
- How do I handle the gap while the worktop is templated?
- Put it in the quote as a stated pause with a rough length, and invoice the stage before it. Solid surface worktops are templated once the units are in and fitted a week or more later by somebody whose diary you do not control, so the gap is certain. Predicted, it is a schedule the customer accepts. Unmentioned, it is you being slow in their kitchen.
- Quote or estimate: which should I send?
- A quote is a fixed price for defined work; an estimate is an informed guess that can move. Customers prefer quotes, so quote whenever the scope is knowable and keep the genuinely unknown out as a stated exclusion or provisional line.
- How long should my quote stay valid?
- Thirty days is the common default. Shorten it when material prices are moving, and say so on the quote. A validity window also gives an undecided customer a gentle reason to stop drifting.
