What a flooring fitter's quote must include

  • Your business name and contact details (and logo, if you have one)
  • A quote number and the date
  • The client's name and the job address
  • Itemised lines: each piece of work and each material, with its price
  • The total, and whether VAT (or your local sales tax) is included
  • How long the price holds, where 30 days is standard
  • What's excluded, stated plainly
  • Deposit and payment terms, so the money conversation happens before the work
  • The wastage allowance, around 10% and more for a pattern match, because the offcuts leaving in your van are what a customer asks about

Tips from the trade

  • Put subfloor prep on as a provisional line with a rate, not as a warning. "Subject to inspection" is a sentence. "£X per m² if latex is needed" is a price they have already agreed to.
  • State the wastage allowance, around 10% and more for herringbone or a pattern match. The offcuts going out to your van are the ones they will ask about.
  • Say who moves the furniture and who eases the doors, and what it costs if that is you. Both are half-days that hide inside an hourly assumption nobody wrote down.
  • Name the material by range and colour rather than "LVT". Somebody who chose in a showroom and believes they got something else will not pay the final invoice.

Common questions

How much wastage should a flooring quote allow for?
Around ten percent for a straight lay, and more for herringbone, a pattern match or a room full of awkward returns. What matters as much as the figure is that it is written on the quote, because the customer who sees offcuts going into your van at the end of the job is going to ask what they paid for, and a line they agreed to at the start answers it without you having to.
Should I quote subfloor prep before seeing under the old floor?
Quote it as a provisional line with a per-metre rate and say plainly it is confirmed once the old floor is up. You cannot know whether a floor is flat and dry until it is exposed, so the choice is between naming a number now or having a difficult conversation on the morning. Naming it turns you into somebody who warned them, which is a much better position to be standing in.
Quote or estimate: which should I send?
A quote is a fixed price for defined work; an estimate is an informed guess that can move. Customers prefer quotes, so quote whenever the scope is knowable and keep the genuinely unknown out as a stated exclusion or provisional line.
How long should my quote stay valid?
Thirty days is the common default. Shorten it when material prices are moving, and say so on the quote. A validity window also gives an undecided customer a gentle reason to stop drifting.
