Running your jobs out of WhatsApp

This page does not tell you to leave WhatsApp. It is how your customers want to reach you, it is faster than email, and nothing here competes with it for talking to people. The argument is narrower: WhatsApp is a conversation, not a filing cabinet, and using it as both is what causes the trouble. Here is where the line falls, and what the alternatives cost.

How it usually goes

The price was a voice note. The address is a pin somewhere above four hundred messages. The photos of the finished work are in a thread that also contains a different job for the same customer and a picture of their dog. Then the phone gets replaced, or the chat gets cleared to free up space, and the whole record of a £2,000 job is a number you half remember agreeing.

What WhatsApp cannot do

Not a list of its faults. A list of the three jobs it was never built for, which is a different thing and the only part worth paying to fix.

Who should keep WhatsApp

Keep WhatsApp for every conversation you have. If your work is mostly small same-day jobs paid on the spot for people who already know you, the thread genuinely is enough and formalising it will slow you down for no gain. The moment it stops being enough is specific and you will recognise it: the first time you are owed money and cannot produce the thing you agreed.

The honest limit on that: it describes businesses affected by late payment, not everyone, and WhatsApp is not what caused it. The narrower claim is the one that matters here. None of the methods on this site chases anybody on its own, so whatever that time is worth, you are paying all of it.

You are also not unusual. Comparing the Department for Business and Trade's business population estimate against the ONS register of VAT and PAYE registered firms puts roughly 500,000 UK construction businesses, 57% of the sector, below both thresholds with no payroll. Almost every one of them is one person running the whole thing off a book, a phone or a spreadsheet.

If it has never actually cost you money. Changing how you work costs a fortnight of feeling slow and the small risk of losing something you only notice needing in eight months. That is a real price. If nothing on this page described a problem you recognise, the honest advice is to close the tab.

Questions people ask

Is it a problem to run a trade business on WhatsApp?
For talking to customers, no, it is the best channel most trades have. The problem is only when it is also the record: prices in voice notes, job details in threads, and no document anywhere. Chats get cleared and phones get replaced, and unlike a filing cabinet, none of that asks first. The fix is to keep the conversation and add a document to it, not to leave.
Can I still send quotes through WhatsApp?
Yes, and you should, because that is where the customer already is. What changes is what lands in the thread: a link to a real itemised quote with your name on it rather than a number typed into a bubble. The customer taps to accept, you see the status change, and the thread stays exactly where it was.
Do WhatsApp messages count as a contract?
They can form an agreement, which is not the same as being easy to rely on. The practical problem is evidence rather than law: producing a coherent record from a chat, months later, after a phone change, is the part that fails.
