What a UK sole trader invoice must show

  • The word “Invoice”, clearly, so it isn't mistaken for a quote
  • Your trading name and address, and the client's
  • A unique, sequential invoice number
  • The invoice date and the date the work was done
  • A description of the work, itemised
  • The amount due and the payment due date
  • Your payment details

If you're VAT registered, you also need your VAT number, the rate applied, the VAT amount, and the net and gross totals shown separately.

Sequential numbering matters more than it looks

Gaps in an invoice sequence are among the first things an HMRC enquiry looks at, because a missing number reads as an invoice that was raised and never declared. If you void one, keep the number and mark it void. Don't reuse it and don't skip it.

What should an invoice include?
Your business name and contact details, the client's name, a unique invoice number, the date, an itemised list of the work with prices, the total, and how to pay you. This generator covers all of it.
Can I make a quote instead of an invoice?
Yes. Switch the toggle at the top to Quote. Same details, but the document is labelled as a quote, which is what you send before the work is agreed.
