What a handyman's quote must include
- Your business name and contact details (and logo, if you have one)
- A quote number and the date
- The client's name and the job address
- Itemised lines: each piece of work and each material, with its price
- The total, and whether VAT (or your local sales tax) is included
- How long the price holds, where 30 days is standard
- What's excluded, stated plainly
- Deposit and payment terms, so the money conversation happens before the work
- Your hourly rate, on its own line, for anything open-ended
Tips from the trade
- One line per odd job, so the customer can drop the mirror without renegotiating the gate, and the yes comes faster.
- Put your hourly rate on its own line for anything open-ended, so the small extras stay billable.
- Price per item rather than per day where you can. A customer picking four jobs off a list of six has already said yes.
- Say what a job costs if it turns out to be the bigger version. A gate needing a new post is not the gate you quoted, and naming the fork now is cheaper than the phone call later.
Common questions
- Should I quote a day rate or price each job?
- Price each job where you can. A day rate makes the customer count your hours; an itemised list makes them count what they are getting. It also means someone who only wants four of the six jobs has agreed to four, rather than gone away to think about it.
- Should I have a minimum charge, and does it go on the quote?
- Have one and print it, because a fifteen-minute job still costs you the drive, the parking and the half hour you cannot sell to anybody else. Written on the quote it is a term. Mentioned at the door after you have fixed the thing, it sounds like you are making it up, and you will end up waiving it and resenting the trip.
- Quote or estimate: which should I send?
- A quote is a fixed price for defined work; an estimate is an informed guess that can move. Customers prefer quotes, so quote whenever the scope is knowable and keep the genuinely unknown out as a stated exclusion or provisional line.
- How long should my quote stay valid?
- Thirty days is the common default. Shorten it when material prices are moving, and say so on the quote. A validity window also gives an undecided customer a gentle reason to stop drifting.
